Whilst this information is mentioned within our Privacy Notices, we want to ensure that members of the public and Via’s customers are aware of it.
Where a customer or member of the public raises a query, or has works booked to take place, that is related to a specific geographical area of Nottinghamshire, in order to process that query Via will normally and routinely need to share its content with 3rd parties who have a legitimate interest in that geographical area where it relates to the work we are contracted to carry out for Nottinghamshire County Council.
This will include sharing the personal data you submitted within the query, such as contact details.
These 3rd parties could include, but are not limited to, your MP, your County Councillor and your District Councillor. In some circumstances, it may also be necessary to include unelected officers from within Nottinghamshire County Council.
As a result of this, you may see elected representatives copied in to emails, or listed as an additional recipient in letters, in responses from Via to you.
We want to assure you that this is standard practice and is not specifically related to your query/works, however in order for your elected representatives to be able to function in their role, they must be kept aware of matters arising within the area they represent.
If you have concerns about the way in which Via handles your personal data, please refer to the relevant Privacy Notice for details on how to raise a query or complaint.
